When is discovery the right next step?

This service suits businesses where people enter the same information repeatedly, handovers require frequent follow-ups or reporting depends on manual compilation. You may have several ideas without a clear order for implementation. You may also need to assess whether a proposed AI project addresses the right problem.

We start with a defined area. That could be the journey from an approved order to scheduled work, the start of a new project or how progress information reaches a decision-maker. These are illustrative applications, not completed client projects. Sometimes a process needs to be clarified before any part of it is automated.

Follow the information through the working day

Together, we examine what triggers the workflow, which people and tools take part and what the next person needs to continue. We separate routine cases from exceptions: missing information, changed orders or work that needs approval.

A practical workshop brings together the people doing the work and the people responsible for the process. The purpose is to understand what happens behind the written procedure. We look for copied information, unclear responsibilities and checks that need to remain. The format and scope reflect the area we have agreed to examine.

Preparation that makes the discussion useful

Choose a process owner and involve someone who works in the workflow. Bring a list of the systems involved, a description of a typical case and an example of an exception. Use anonymised examples where possible; passwords and API keys should not be shared through an ordinary enquiry form.

Information about frequency, approximate handling time and common errors helps us assess a possible improvement. If measurements are unavailable, we make assumptions visible and distinguish them from confirmed facts. Technical access and any use of business data are agreed separately when required.

Prioritise value, feasibility and risk

We assess candidates by how often the work occurs, how much manual involvement it needs and the consequences of an incorrect result. We also examine data quality, access to the relevant systems and who can take responsibility after implementation.

AI is one possible tool. Clear rules are often enough to move known information between systems. AI may help when information needs interpreting or structuring, but the result then needs a suitable review process. Our recommendation may therefore be an integration, an AI-assisted step or a change to the working procedure.

What you take away

The agreed scope defines the level of detail in the deliverables. The aim is information you can use to make a practical decision, including a decision to postpone implementation. A first workflow should have a clear beginning, a clear end and someone responsible for it.

What determines the price and timeline?

Discovery does not include a completed automation. Development, licences, hosting and ongoing support need separate consideration. You can move on to Automation in action once the requirements are sufficiently clear. The focus is your workflows and a practical basis for improvement decisions. We explain relevant technology as we work, but discovery is not a general training course or certification.

Do we need to know what we want to automate?

No. Start with a task that takes time or frequently gets stuck. We help define the problem and examine which improvements are realistic.

Do we have to order implementation afterwards?

No. Discovery and implementation are separate stages. You decide how to proceed based on the findings and any subsequent proposal.

Can you promise a specific time saving?

An estimate needs to reflect your current process and be tested in practice. We distinguish expected benefits from measured results and agree what to track.
